Garage invoice formatWhat every garage bill must show.
The header, the lines, the number series and the correction path, so a bill stands up later.
One bill, one series
Give every bill a number from one series, in order, for the financial year. Do not restart the count at a new month or reuse a cancelled number.
Garage Master numbers bills per garage and financial year, as PREFIX/2627/0001, and freezes the number when the bill is issued.
The header
A bill a customer can check and an accountant can file carries:
- The garage's legal name, address and phone
- The GSTIN, when the garage is registered
- The invoice number and the date
- The customer's name and address
- The customer's GSTIN, when they are registered
- The vehicle registration and the job number
- The place of supply, when the bill carries GST
The lines
Put labour and parts on separate lines, each with its own rate and tax treatment:
- What was done or supplied
- The HSN code for a part, or SAC 998714 for repair labour
- Quantity and unit price
- Any discount, shown on the line
- The taxable value
- The GST rate and amount, when the bill is a tax invoice
Tax or no tax
The document follows the garage's registration, not a choice at the counter. A regular GST garage issues a tax invoice. A composition garage issues a bill of supply with its declaration. A garage with no GSTIN issues a plain bill under its chosen heading.
Keep the tax or non-tax treatment consistent across the series. When the registration changes, start the new treatment on a new bill, never by editing an old one. Confirm the treatment with your accountant.
Payments and the balance
Record each payment against its invoice: cash, UPI, card or bank. A part payment leaves a visible balance, which belongs on the copy the customer takes away.
Show the UPI ID or bank details the customer should use. A bill that says what is still owed is easier to collect than one that only shows the total.
Corrections without rewriting history
An issued bill is a record. Do not edit or delete it. If nothing has been paid, cancel it and keep the number and the reason. If money has been paid, issue a credit note for the part that changed, tied to the original lines.
Garage Master writes every one of these changes to the garage's audit log, so the history stays readable.
